Who are OpenCRM?

Open CRM was launched in 2005 and is still owned and operated by the same people who started it all. Our HQ is based just outside the picturesque market town of Richmond, North Yorkshire, UK. Our customers range in size from start-ups, mid-market businesses to large corporate enterprises. Users of Open CRM are based around the world and across all continents (all except one…we haven’t cracked Antarctica yet).

Can I easily customise OpenCRM?

We know that all businesses will use Open CRM in different ways and we recognise that as such, every company will want to hold different information in their system. For example, you can add as many custom fields to your system as you need: showing, hiding, and rearranging both custom and system fields to best suit your business. These fields can be added in any module and, with 26 different types of custom field, you can tailor your system to meet your needs.

Payment methods - how can I pay?

UK companies can pay by Direct Debit. We accept all major credit cards as well as PayPal. You can also pay by cheque or bank transfer. For Enterprise customers we can invoice you against a valid purchase order if this helps.

Do you store my Credit Card details?

No, we do not. Our credit card payments are powered by Stripe, a worldwide provider of secure credit card processing. OpenCRM does not see your credit card number and we do not store credit card details anywhere on our internal systems.

Do I have to sign a long contract?

No, Open CRM subscriptions are based around the accepted principle of Pay As You Go. In other words, you pay a monthly subscription in advance and can cancel at anytime.

What other software do you integrate with?

Open CRM can integrate with a wide range of external applications, including Microsoft 365, Google, Xero, Sage, Zapier, and Jotform, just to name a few. What do you mean by cloud? (How does the hosting work?)

All of our systems are based completely in the cloud, meaning that you can access them from any internet-connected device or computer. The data, system, and software to run the system are all held and run from our servers, all of which are located in the UK, as are all back-ups and back-up servers. Our long term hosting partner is AWS (Amazon Web Services).

How do I know my data is secure?

The data centres, which hold our and your data, are all based in the UK. They are all ISO 27001 accredited, the security standards used by banks and other financial service organisations, so you know your data is secure.

To cover all circumstances, we take nightly, weekly, and monthly snapshot backups of your data and hold these in a secondary facility.

We comply with the General Data Protection Regulation (GDPR) which came into force on the 25th May 2018. You can get more information about our terms of Supply and Privacy here.

How quickly will I get my system?

Once you fill out the Online Sign-up or e-Sign a sales order (sent to you by one of our Business Development Team), you can expect to receive your system and the login details within about 30 minutes. Within a day or two, someone from our Project Management Team will be in touch to help get you started or to arrange any configuration or training you’ve purchased.

Can I export my data at any time?

Yes. You own your data and as an Administrator can export your information at any time. If you decide that Open CRM is not for you, for whatever reason, we provide a full MySQL database backup as part of the termination process.

Do I really get 2TB of storage?

Yep, its all yours, so use it as you feel works best for you. The reason for providing this level of storage, which is so much more than our competitors, is to make working with Open CRM that bit easier – you don’t have to worry about overage charges. If you need to upload large files as part of your business processes, that’s fine. The last thing you want is a surprise bill because your team is ‘actually’ using your CRM system.

Do you offer training? How about set up? What about my existing database?

We offer a number of, what we call, Professional Services, including Training, Configuration, Bespoke Development, Data Import, etc, that are there to ensure your system fits your needs and that you feel confident using it. You can, of course, carry out your own configuration and data import if you prefer.

Do you have support? Where can I go for questions?

Our support department is always on hand to answer any questions you might have about your system. You can get in touch with them via email, LiveChat, through our Customer Portal, or over the phone.

They’re happy to help with the simple how-to questions as well as the more involved configuration questions.

Can all my users login at the same time?

Of course! We have systems ranging from 1-2 users all the way up to many hundreds of users and they can all be logged in at the same time with no drop in performance.

Do I get everything I see in the demo?

All Open CRM systems, no matter which subscription plan, are created with all the available modules you see in the demo. If you don’t need to use one or more of them right now, you can always hide them (or just hide them from individual users or teams). If you decide to expand into any of these modules in the future, it’s easy to re-enable the ones you’d like to use.

What if I need a refund?

The honest answer is that we don’t issue refunds for services legitimately purchased, but equally we don’t want to be unfair if you have a genuine request.

In most cases the important thing is to cancel your subscription at the earliest opportunity, if you don’t tell us that you are leaving, then we won’t know. If you make a payment by accident, perhaps you cancelled too late in the billing cycle, let us know, where appropriate we will work with you on a case by case basis so that you remain happy.

Is there anyway I can save more money with OpenCRM?

Our Simple Pricing is based on Pay-As-You-Go monthly charging. We have options to allow you to pay Annually as well as contracting for a longer period of time, both of these alternatives attract a reduced price.

Do you have Charity prices?
