About
Who are OpenCRM?
OpenCRM launched in 2005 and is still owned and operated by the same people who started it all. Our HQ is just outside the picturesque market town of Richmond, North Yorkshire. Read more about OpenCRM.
Why choose a UK-hosted CRM?
A UK-hosted CRM keeps your data in UK data centres, making it easier to satisfy UK data residency and GDPR requirements, and gives you a support team in the same timezone. Read more about our UK hosting and security.
What is the best UK CRM system?
OpenCRM is a UK-built, UK-hosted CRM used by businesses who want full functionality, UK-based support and simple per-user pricing without long contracts. Take a look at what’s included as standard.

Product
Can OpenCRM be customised?
Every company wants to hold different information, so you can add as many custom fields as you need — showing, hiding and rearranging both custom and system fields to suit your business. Fields can be added in any module, and with 26 field types you can tailor your system to meet your exact needs.
What other software do you integrate with?
OpenCRM integrates with a wide range of external applications, including Microsoft 365, Google, Xero, Sage, Zapier and Jotform, to name a few. Interested in learning more? Give one of our business development team a call and find out which of OpenCRM’s integration options are right for you.
Do I really get 2TB of storage?
Yep — it’s all yours, so use it however works best for you. We provide 2TB storage, far more than our competitors, to make working with OpenCRM easier: no worrying about overage charges, and no surprise bills because your team is actually using the system.
Can all my users log in at the same time?
Of course. We have systems ranging from a single user to many hundreds of users, and they can all be logged in at the same time with no drop in performance.
Do I get everything I see in the demo?
All OpenCRM systems, whatever the subscription plan, are created with all the modules you see in the demo. If you don’t need one right now you can hide it (or hide it from individual users or teams), and if you decide to expand into any of these modules later, it’s easy to re-enable the ones you’d like to use.

Pricing & payment
What payment methods does OpenCRM accept?
UK companies can pay by Direct Debit. We accept all major credit cards as well as PayPal, and you can also pay by cheque or bank transfer. For Enterprise customers we can invoice against a valid purchase order if that helps.
Do you store my credit card details?
No, we do not. Our credit card payments are powered by Stripe, a worldwide provider of secure credit card processing. OpenCRM does not see your credit card number, and we do not store card details anywhere on our internal systems.
Do I have to sign a long contract?
No. OpenCRM subscriptions are based around the accepted principle of Pay As You Go — you pay a monthly subscription in advance and can cancel at any time. We do apply a 60-day notice period, but that’s the only commitment involved.
What if I need a refund?
The honest answer is that we don’t issue refunds for services legitimately purchased — but equally we don’t want to be unfair if you have a genuine request. In most cases the important thing is to cancel your subscription at the earliest opportunity; if you don’t tell us you’re leaving, we won’t know. If you make a payment by accident (perhaps you cancelled too late in the billing cycle), let us know and, where appropriate, we’ll work with you on a case-by-case basis so you remain happy.
Is there any way I can save more money with OpenCRM?
Our Simple Pricing is based on Pay-As-You-Go monthly charging. We also offer options to pay annually or contract for a longer period — both available at a reduced price.
Do you have charity prices?
In short, yes we do. There are a couple of things we ask when dealing with charitable organisations, but nothing you won’t already be doing. Why not get in touch? We can give you the lowdown on how we can help.
Why does OpenCRM charge monthly instead of a one-off licence?
A monthly subscription lowers your upfront cost, includes updates and support as standard, and lets you scale users up or down as you grow — with far less risk than a large one-off purchase. Read the full guide.
Are there any hidden fees?
No. OpenCRM uses simple per-user pricing with all features included.
Can I increase or decrease user numbers?
Yes. User licences can be adjusted as your business changes.
Is there a free trial?
Yes. Prospective customers can evaluate OpenCRM before making a commitment.
How much does OpenCRM cost per user?
OpenCRM uses simple per-user, per-month pricing with every feature included — no tiers, no feature-gating. See current pricing.
Are there any setup fees?
There’s no mandatory setup fee to get started. Optional Professional Services — training, configuration, bespoke development or data import — are priced separately if you’d like our help.
Security & data
Is OpenCRM cloud based?
All of our systems are based completely in the cloud, so you can access them from any internet-connected device. The data, system and software are all held and run from our servers — all located in the UK, as are all back-ups and back-up servers. Our long-term hosting partner is AWS (Amazon Web Services).
How do I know my data is secure?
The data centres holding your data are all based in the UK and are ISO 27001 accredited — the security standard used by banks and other financial service organisations. We take nightly, weekly and monthly snapshot backups held in a secondary facility, and we comply with the GDPR. You can find more in our terms of supply and privacy information.
Can I export my data at any time?
Yes. You own your data and, as an Administrator, can export your information at any time. If you decide OpenCRM isn’t for you — for whatever reason — we provide a full MySQL database backup as part of the termination process.
Where is OpenCRM data stored?
OpenCRM stores customer data in UK data centres, helping organisations satisfy UK data residency requirements. Read more about our security and data protection.
Do you support Multi-Factor Authentication (MFA)?
Yes. MFA can be enabled to provide an additional layer of account security.
Who owns the data stored in OpenCRM?
You remain the owner of your data at all times.
How often is OpenCRM backed up?
We take nightly, weekly and monthly snapshot backups, held in a secondary UK facility separate from our live servers.
What uptime do you provide?
OpenCRM is backed by a 99.97% uptime SLA, hosted on AWS infrastructure in the UK. Visit our support page for more.
Getting started
How quickly will I get my system?

Within a day or two, someone from our Project Management team will be in touch to help you get started or arrange any configuration or training you’ve purchased.
Do you offer training, setup, and data import?
We offer a number of Professional Services — including Training, Configuration, Bespoke Development and Data Import — to ensure your system fits your needs and you feel confident using it. You can, of course, carry out your own configuration and data import if you prefer.
Do you have support? Where can I go for questions?
Our support department is on hand to answer any questions about your system. You can reach them via email, LiveChat, our Customer Portal, or by phone. Visit our support page for more.
